Billing & Refund Policy
Last Updated: January 21, 2026
This Billing & Refund Policy ("Policy") explains how CartOS Software ("CartOS," "we," "us") handles subscription fees, billing, and refunds for its ecommerce and point-of-sale platform (the "Service"). This Policy forms part of the Terms of Service.
1. Billing & Subscription Terms
- Subscription fees are billed monthly in advance, beginning on the final day of your free trial period. Subsequent subscription charges occur on the same day each month thereafter.
- Transaction fees (including usage-based and per-transaction charges) are billed on the 15th of each month for the previous month's usage. If your subscription is cancelled, any outstanding transaction fees will be billed on the final day of your subscription period.
- You authorize CartOS or its payment processor to charge your designated payment method for all applicable fees, taxes, and charges.
- If your payment method is declined or cannot be charged, we may suspend or terminate your access to the Service until payment is received.
2. Plan Changes & Upgrades
- Upgrading your plan may result in immediate prorated charges for the remainder of the billing period, and subsequent renewal at the new plan rate.
- Downgrades may take effect at the end of your current billing period. Downgrading may cause loss of features, capacity, or data.
3. Refunds
Except as required by law or expressly provided in a written agreement, all fees paid to CartOS are non-refundable, including but not limited to:
- Subscription fees;
- Setup or onboarding fees;
- Usage-based or transaction-based charges;
- Credits or partial months after cancellation.
We may, in our sole discretion, decide to issue a partial or full refund or credit as a courtesy in certain circumstances, but such decisions do not create any obligation to do so in the future.
4. Taxes
Fees are exclusive of applicable taxes, levies, or duties imposed by taxing authorities. You are responsible for payment of all such taxes associated with your use of the Service, excluding CartOS's income taxes.
5. Cancellation
- You may cancel your subscription at any time via your account settings or by contacting support.
- Cancellations take effect at the end of the current billing period, unless otherwise specified in your plan or order form.
- You remain responsible for all charges incurred before the effective cancellation date.
6. Billing Disputes
If you believe there is an error or discrepancy in your invoice, you must notify us within 30 days of the invoice date. We will review the issue and, if necessary, adjust the charges. Failure to notify us within this period may waive your right to dispute the charges.
7. Changes to this Policy
We may update this Billing & Refund Policy from time to time. We will update the "Last Updated" date and, where appropriate, notify you via the Service or email. Your continued use of the Service after any changes constitutes acceptance of the updated Policy.
